A note about your privacy

Your privacy matters deeply in this work. Sharing personal information can feel vulnerable, and I take care to handle anything you share with respect, sensitivity, and transparency.

This page explains what information I collect, why I collect it, and how I look after it.

Who I am

Nelli Rubante
Trainee Therapist
(in Advanced Training in Psychotherapy at Manchester Institute for Psychotherapy)

Email: nellipsychotherapy@outlook.com
Website: nellirubantepsychotherapy.co.uk

I am a member of the UK Council for Psychotherapy (UKCP) and work in line with their ethical framework, as well as UK data protection law.

The information I collect

If you get in touch, I may receive:

  • your name
  • your email address
  • your phone number
  • any information you choose to share in your message

If we decide to work together, I will also keep:

  • your contact details
  • your date of birth
  • your GP details
  • emergency contact details
  • brief notes from our sessions

I aim to only collect what is genuinely needed to support you and the therapeutic process.

Access and professional will: I am the primary person who holds your records. In exceptional circumstances — for example, if I am incapacitated and cannot deliver therapy — your information may be accessed by nominated colleagues as part of my professional therapeutic will. Their names are outlined in your Working Agreement, which is supplied to you before therapy begins. They are bound by the same confidentiality and GDPR standards and would only access your records to support you and provide necessary information.

How your information is used

Your information is used to:

  • respond to your enquiry
  • arrange and provide therapy sessions
  • keep a simple record of our work together
  • meet my professional and legal responsibilities

The legal basis for holding this information is that it is necessary for providing therapy. Any sensitive information (such as health-related details) is held as part of delivering care.

Keeping your information safe

I store information securely and take steps to protect it from loss, misuse, or unauthorised access. This may include:

  • secure digital systems designed for healthcare professionals
  • password-protected files and devices
  • encrypted platforms

I am the only person who has access to your records, except as noted above under the therapeutic will.

Confidentiality

Confidentiality is central to therapy. What you share with me stays private.

There are rare situations where I may need to share information, such as:

  • if there is a serious risk of harm to you or someone else
  • if I am legally required to do so

Wherever possible, I would aim to speak with you about this first.

I attend regular professional supervision. Any discussion of your work is anonymised.

Sharing information

I do not sell or share your personal information with third parties.

Information may only be shared if:

  • you give explicit permission
  • it is necessary to protect safety
  • there is a legal requirement

I have a professional will in place: if something unexpected happens to me, a trusted therapist could access your contact details to inform you and support next steps. They are bound by the same confidentiality and data protection standards.

How long I keep information

Records are kept for 7 years after the end of therapy and then securely deleted.

You have the right to request access to your data, ask for corrections, request restrictions on processing, or request deletion where appropriate. Requests are processed within one calendar month of receiving your request.

Your rights

Under GDPR, you have the right to:

  • request access to what I hold about you
  • request corrections if something is inaccurate
  • request deletion where appropriate

Requests will be responded to within one month.

Questions or concerns

If you have questions about how your information is handled, you are very welcome to ask.

If you have concerns, please contact me in the first instance at nellipsychotherapy@outlook.com. You also have the right to make a complaint to the Information Commissioner's Office (ICO).
